Registration Policies

Are you a Member?

Membership must be renewed by February 1, 2012 (for the calendar year 2012) to qualify for member conference rates. If you do not renew your membership by this date, you will be considered a nonmember and required to pay the higher nonmember registration fee. Individuals who registered for AIHce prior to December 31, 2011 must have paid 2012 dues to avoid being retroactively charged the nonmember registration fee.

Registration Discount

Individuals reserving a hotel room in the official AIHce room block receive a $150 discount off registration fees. The discount is taken at the END of the registration process.

Government Employees

Federal, local or state government employees may register online of three ways:

  1. Submit valid credit card (Exp. Date: 6/12 or later).
  2. Submit a purchase order or training authorization number.
  3. If no PO or TA number is provided, complete billing information is required.

No registrations will be processed without a credit card, authorization number, or billing information. In all cases, a valid credit card is required to guarantee a hotel room.  Two different cards may be used – one to register and one to confirm the hotel reservation.

If paying by PO or TA, registrant’s record will indicate a balance due until a check is received. However, conference badge and meeting materials will be mailed as long as a valid PO number has been submitted. To submit the actual PO or TA, download the registration form and send by fax.

Local Residents

Registrants whose permanent address is within 50 miles of the Indiana Convention Center, those sharing a room with another AIHce registrant, or individuals staying with friends are considered “local” and are not subject to the higher registration fee. Select one of these options in the Hotel Section of the website to receive the lower registration fee.

Nonmembers

Nonmembers who join AIHA by March 15, 2012 are eligible for the member registration fee. If you register and then become a member you will not be eligible for the reduced registration fee. AIHA Annual Member Dues: $196; Young Professional Dues: $98

Students

AIHce does not offer a nonmember Student rate. Students, who meet membership criteria, may join AIHA and receive the discounted AIHce Student registration fee. AIHA Annual Student Dues: $10

Name/Mailing Address Changes

If your address changes after you’ve registered, notify AIHce/Experient by email, aihce@experient-inc.com. Address changes will be used for mailing meeting materials only. Permanent address changes must be made directly with AIHA at 703-849-8888.

International Registrants

Visa processing may require a long lead time. Please plan accordingly! International guests who register by April 15 will receive conference credentials by mail.

Payment

Registration fees will immediately be charged to the credit card provided. The credit card must have an expiration date of 6/12 or later. One night’s hotel room and tax may be charged (by the hotel) if reservations are not cancelled 72 hours prior to arrival. Wire transfers are not accepted.

Incomplete registrations (missing purchase order information, invalid credit card, etc.) cannot be processed; individual will not be considered registered for AIHce unless/until issue is resolved. Outstanding balances must be paid prior to advance registration closing on May 30 or registration will be cancelled. Subsequently, individual may register on site and pay on-site fees.

Registrations are not transferable; no substitutions can be accommodated.

Confirmation

Acknowledgement of registration and hotel accommodations will be e-mailed within 24 hours. Individuals registering by May 30 will receive badges and tickets by mail in June. International registrants who register by April 15 will receive credentials by mail.
